Tournaments
These procedures are for groups requesting fields for tournament games, whether over a weekend or longer period of time. This includes league post-season or stand-alone tournaments.
New tournaments will be scheduled after all field requests for returning tournaments have been coordinated. New tournaments may or may not take priority over regular league play, depending on the field and level of tournament involved.

Field Scheduling Timeline – Calendar of submission deadlines for requests based on months and sports wanted.

Requesting Fields:
For your convenience, forms can be submitted via email. If a signature is required, request a Client ID# to send the forms via email or submit via scanned email, fax, mail, or drop-off with a signature.
Acknowledgement of Receipt – Proof that you received a copy and have read and understood the Athletic Field Scheduling Guide.
Field Use Request Form – Official form to provide the Parks Scheduling Office with the Organizations’ contact information and details about the field time being requested.
Field Use Request Form – Overflow Page (if needed) – Page to submit with the Field Use Request Forms if additional lines are needed for the field time being requested.
Athletic Field User Organization Information - Information regarding the groups requesting field time.
Certificate of Insurance – Naming the City of Bellevue as an additional insured for $1 million General Liability Coverage
Initial Payment – Youth: $250 or paid in full, Adult: $500 or paid in full
Credit Card Authorization Form (if needed) – To authorize the City of Bellevue to keep the credit card number on file for future billings.
Before the Tournament:
Return to Inventory Form – To cancel unneeded reservations to save money and help meet needs of additional groups. Full credit is issued for field time returned with at least 2 months’ notice. Fields returned with at least 5 working days’ notice will be credited, less the initial payment amount.
Seasonal Concessions Request Form (if applicable) – Required if charging admission or selling items (food, souvenirs, etc…). Permit is required per Park Code 3.43.290.
1-2 Weeks Prior:
Game Schedule Form – Once your game schedule is set please submit it to the Parks Scheduling Office to ensure that fields are maintained and ready for your use. Note: Fields maintained by the City field crew will be dragged. Some organizations are responsible for field lining. Two weeks’ notice is requested to get the reservations updated for the crew in a timely manner.
Tournament Checklist – To ensure the Parks Scheduling Office has everything all set-up for the tournament to run smoothly and emergency contact information should the need arise.
Remaining Balance – Per the Bellevue Treasury/Tax Office, all field use fees must be paid up-front. Any refunds due the organization will be processed at the completion of the tournament.
After the Tournament:
Credit Request Form – Unable to use a reserved field due to field conditions (rainout, lights, etc…)? Groups may be eligible for credit. Preferred within 5 working days, not considered after a month.
How is the Parks Department doing? – Survey to provide input on areas where Bellevue Parks excels or could improve.
